2018 Asian Games
Location: Jakarta & Palembang, Indonesia
Services: Consulting & Organising Committee support
The principals of Eventium were engaged by the Olympic Council of Asia (OCA) to provide support to the Local Organising Committee. With 60 sport disciplines and 48 competition venues, the Asian Games is the most complex multi-sport Games.
Covering the areas of Programme Management, Main Operations Centre, Venue Management and Overlay, Eventium was part of a small international team embedded within the Organising Committee to provide expertise and advise on the delivery model, command and control, functional area structures, milestone planning and venue design.
Successes included developing and implementing Model Venue Exercises in key host cities and establishing a Project Management Office, retrofitting a project management framework into the existing planning process.
We were also instrumental in:
- Mentoring the local team on operating plans, timeline and milestone tracking
- Developing C3, venue management and reporting structures
- Integrating international local delivery partners into the Games operations
- Reporting on progress to the OCA and OCA Audit Commissions
- Preparation of Co-ordination Commission responses and presentations

Deliverables included departmental milestone planning and scheduling, volunteer training, managing and mentoring Event Services Managers, and exercising and testing to ensure the full Event Services team were Games-ready.

2014 Commonwealth Games
Location: Glasgow, United Kingdom
Services: Planning, Readiness and Delivery
The Eventium team supported the Games Delivery Office and the Venue Management functional area during the planning and delivery phase of the Games.
This included taking the role of Venue General Manager at the Triathlon venue, a standalone site with unique stakeholder relationships. Innovative solutions were identified with government agencies to remedy water quality issues, ensuring correct pH levels to meet competition standards.
Within the Games Delivery Office, Eventium staff helped drive integrated projects such as venue command and control and radio fleetmap design. The Games Delivery Office was also responsible for Readiness and C3, and Eventium staff facilitated readiness simulations and desktop exercises with venue teams and emergency services providers.
Eventium has subsequently returned to Glasgow to audit the Venue Management operations for the 2018 European Championships.
2017 Asian Indoor & Martial Arts Games
Location: Ashgabat, Turkmenistan
Services: Venue Management, Readiness and C3
With less than a year to deliver the Games, the project required creating an integrated team of local managers and international experts sourced through a Games Academy program. Through coaching and mentoring, the Games legacy is a well-trained and experienced event workforce for Turkmenistan.
Eventium leaders held the roles of Deputy Director, Venues and Ceremonies Integration and Head of Readiness & C3. These roles involved the recruitment and management of teams delivering venue operations at the Ashgabat Olympic Complex, and were responsible for presenting the concept of operations, development and delivery of Venue Management training, functional area integration and model venue planning.
Over 30 readiness activities were designed and delivered including sport test events (including Asian Championships), Functional Area desktop exercises, venue simulations and rehearsals. The programme culminated in a Games-wide Simulation which tested issue escalation, decision-making and crisis management across multiple Government agency partners and external operations centres.
During the Games, Eventium leaders were directly responsible for managing the Main Operations Centre as well as the operational delivery surrounding the Opening and Closing Ceremonies.
2015 Volvo Ocean Race, Auckland Stopover
Location: Auckland, New Zealand
Services: Operational consultancy& Stakeholder management
Eventium was asked to plan and develop the decommissioning operations for the Volvo Race Village in the complex, multi-agency ownership environment of Auckland’s waterfront public domain.
Working with the Volvo international race management team and local stakeholders, a flexible, integrated approach to operations was developed. This approach was tested and proven effective when a significant weather event, tropical Storm Rita required changes to the race timetable and de-rig schedules at short notice.
The project required effective stakeholder engagement, safety management and logistics planning and has led to a number of subsequent contracts with the local stakeholders.
2016 Auckland Pride Parade
Location: Auckland, New Zealand
Services: Production, Event management and Emergency response
Eventium was appointed to produce the Auckland Pride Parade in 2016 following a competitive tender. The project involved developing and implementing a revised Parade route and event concept which required relationship management with local businesses groups and municipal authorities to implement the revisions.
Services included development of event safety and traffic management plans, procurement of event services, community engagement, recruitment, training and deployment of volunteers.
Eventium also implemented a Parade Operations Centre to work closely with New Zealand Police, emergency services, Auckland Transport and council officials implementing an emergency response plan. The plan was deployed effectively to manage a public protest demonstration which was peacefully resolved.
